Keep Your Cleaning Technicians Organized By Providing The Tools They Need

MyHouseCleaningBiz.com

Cleaning technicians are responsible for cleaning your clients homes, a very crucial part of your cleaning company's ability to sustain a constant revenue stream. They are your front line work force. They not only clean, but are responsible for the part of your company that defines the client experience. Keep your cleaning technicians organized and productive by providing them with the tools they need. When you help them to be productive, they'll feel more successful and fulfilled at their job and you're going to have happy clients.

Keep Cleaning Technicians Organized by Preparing Them for the Unexpected

We're not talking about “physical” cleaning tools here. We're talking about a binder filled with company forms, documents, procedures, safety guidelines, manuals, and anything you can think of that will make your cleaners proficient with all their duties. Remember, they're not only responsible for the cleanliness of your client's home. They also become your sales people, customer service reps, and quality control inspectors. Consistency between all your front liners will be a big plus for your company's ability to perform in the field.

So what is this binder? It's a binder containing hard copies of all your cleaning company's methods, procedures, systems, policies, and so on that your cleaners will use and reference to get their job done proficiently and effectively.

Documentation Your Cleaning Technicians Need in the Field

  • Schedule, work/service order, daily planner for that day's work.
  • Maps and driving directions to each client's home.
  • A checklist of cleaning specifications for each client's home.
  • A reminder list for each client being cleaned that day. This includes a “watch list” for the client including distinctive cleaning tasks they should always check for or anything unique to that particular client.
  • A zippered pouch to carry keys, pens, and business cards.
  • An envelope to carry checks and payments.
  • SDS sheets for all cleaning chemicals used on the job.
  • Emergency phone numbers and emergency preparedness list. For example, what to do when you have an auto accident, what to do when one of the team members get sick or has an accident in the home, and what emergency facility to use.
  • A form that lists commonly asked for “additional” services so the team can give quotes on the job, such as upholstery, window, and carpet cleaning.
  • Customer service form (when customer requests additional services).
  • Service order/work order template.
  • Cleaning supplies and equipment checklist to verify current inventory levels.
  • Breakage or damage report forms.
  • Disclaimer forms (laundry, cleaning, window blinds).
  • Auto expense or mileage forms.
  • Accident reporting forms.
  • Company waiver forms (damage, liability, unsecured key)
  • Authorization to charge a credit card forms.
  • Client survey forms.
  • Copies of your company's “welcome packet”
  • Thank you notes.

Add or subtract from this list depending on your particular company needs, but make sure you keep your cleaning technicians binder fully stocked with everything they need to get the job done.

The company binder gives your cleaners the ability to address incidents and situations should they arise in the field. It is the tool they will use to become more flexible, efficient and productive.

Isn't that too much to carry?

If you keep your binder organized with tabs, it will make it much easier to work with. But in these days of mobile devices, you may want to keep some of these documents easily accessible from a tablet.

If this is your preference, we recommend creating a folder with the documents and storing it in a service like Dropbox. Install Dropbox on the tablet and share that folder with the user.

Not all items can be stored in this way however. Although OSHA allows it, our preference is to have printed copies of SDS Sheets in a separate binder for easy access should an accident occur involving a cleaning chemical.

One last thing

A well-managed cleaning service provider projects professionalism back onto their business. This means continually improving upon training procedures, updating company forms and documentation and staying current on cleaning industry developments and trends.

“Our Age of Anxiety is, in great part, the result of trying to do today's job with yesterday's tools and yesterday's concepts.”  Marshall McLuhan
