Key Control for Residential Cleaning Businesses

This week in our other newsletter Trash Talk, we talked about keeping control over all the client keys in your possession. You need to do the same thing in your residential cleaning business too.

When you take on a new clients, one of the items you need to discuss is getting a key to gain access to the home. It's a good idea to have the client sign a Key Release Form, which details the homeowner's name and address, and explains that the key will be kept in a lock box at your office. Have both parties sign the form.

Keep a master key log in your office in a secure place. This form will detail the customer name, the code on the key, and which employee or team leader the key is assigned to.

Never write your customer's name or address on the keys. If the keys were ever lost you don't want that information to get into the wrong hands, so use codes instead. That way, if the keys are found they will do no good to the person who found them.

When service is terminated, you should also have the customer sign a form that acknowledges the return of the keys.

It's important to have a system in place for keeping control of keys. If not, you'll soon lose control over the situation and won't have any records when a key turns up missing.

P.S. When our new site launches, these forms will all be available to members in our Download Library.
